What a contractor invoice needs.
Customers pay sooner when the invoice answers their questions before they ask them. Each of these has a field in the generator above.
Who it is from
Your business name, address, phone and email, plus a licence or tax registration number if your trade or region requires one on invoices.
Who it is for, and where
The customer's name and billing address, and the job site when it is different, so nobody wonders which job is being billed.
A number and two dates
A unique invoice number, the date you issued it and the date payment is due. Terms such as Net 30 count from the issue date.
The work, line by line
What you did and what you supplied, with quantities and unit prices. "Replace 50-gal water heater, haul away old unit" heads off a phone call that "Plumbing work" invites.
Discount and tax on their own lines
Show a discount before tax and each tax separately. Whether labor is taxable depends on your state, province or country, so mark each line taxable or not.
How to pay
The payment methods you accept and what the customer needs to pay you, plus any late-payment terms you use.
When the invoice lives in Timber.
This generator makes one PDF. Timber keeps the invoice on the job, sends it and follows it up. The CRM, invoices included, is free.
Drafted from the job
When a technician reports the work finished, Timber drafts the invoice from the job's hours and materials for you to review.
Sent as a link
Customers open the invoice from a link. Connect Stripe and they can pay it by card from that page.
Chased for you
Reminders for overdue invoices are written in your company's tone and left in your drafts. Nothing is sent until you approve it.
Questions about the invoice generator.
Is the invoice generator free?
Yes. There is no account, no watermark and no limit on how many invoices you download.
Is anything I type sent to Timber?
No. The form, your logo and the PDF are all handled by your browser. Your business details and the draft are saved in this browser's local storage so they are there next time, and Clear form deletes them. We count page visits and downloads anonymously, without any of the document's contents.
Can I add my logo?
Yes. Choose a PNG, JPG or WebP image. It is resized in your browser and placed on the invoice; it is not uploaded anywhere.
How do I handle sales tax on labor and materials?
Mark each line taxable or not and enter your rate. You can add a second tax, such as GST and PST, and a discount is taken off before tax. Tax rules differ by state, province and country, so check with your accountant if you are unsure what is taxable.
What payment terms should I use?
Due on receipt is common for service calls and small jobs, and Net 15 or Net 30 for commercial customers and larger projects. Pick a term and the due date is worked out from the issue date, or set the date yourself.
Can my customer pay the invoice online?
Not from the PDF, which is a document to send or print. In Timber, invoices go out as a link, and customers can pay by card once you connect Stripe.
What page size is the PDF?
US Letter or A4, whichever you choose. A long invoice continues onto a second page.
